What are save the date cards?
A save the date card is a notification to your guests of your event
date and may include the proposed destination or location. It also
lets your guests know of your intention to invite them to the event.
Why send a save the date card?
A save the date card gives your guests the opportunity to mark and
reserve your event date on their calendars so they can be available
to attend your special day.
- It allows guests to prepare a savings plan if they are coming from
afar.
- It allows guests to book flights and accommodation in the area of
your event.
This may be particularly important when your event date falls
around a busy holiday period where other people are booking
flights and accommodation around the same time.
- It allows guests to book time off from work if required.
What can I include on the save the date card?
Your save the date can include the following information:
- The happy couples names (for engagements and weddings) or the
guest of honours name (for birthdays and other events).
- The event date.
- The guests name "optional".
At the very least make sure the guests name is on the envelope (if
posting) so the household knows who the save the date is actually
for.
- The destination or location "optional".
This can include the venue name if you already have it booked and
confirmed.
- Travel or accommodation information "optional".
- Rsvp details "optional".
This may be useful if you would like to know exactly how many
invitations to send or if your venue numbers are tight.
Does the save the date have to be a card?
Your save the date does not have to be in card form. How you send out your save the date is really a personal preference.
Depending on how you want to manage your event, your save the dates can be in the form of any of the following:
- Small card
- Fridge magnet
- Email with/without attachment
- Facebook event
- Group text message
- Telephone call
When should I send the save the date card?
If your event is overseas or your guests are travelling from afar you may want to send your save the dates out 9 - 12 months prior to the event date. If your event is local and all of your guests are locals you may only need to send them out 6 - 8 months prior. These dates are a guide only. Each event and guest list is unique and certain factors may dictate the time frame for sending save the dates out for your event.
